Three habits that quietly cost you paid jobs

None of these are your fault. Most trade businesses run this way — until the money disappears and you can't say where it went.

56%

More than half of small businesses are owed money right now. The average is $17,500 sitting uncollected, and almost half of that is more than 30 days late (Intuit QuickBooks, 2025 Small Business Late Payments Report). That's what happens when nothing tracks follow-up for you — or when you hesitate to invoice through apps that take a 3% bite out of every check.

The bid notebook

You sent a bid two weeks ago. Nobody followed up. Now that job — and that money — probably went to someone else.

The invoice shoebox

You did the work. You sent the invoice. Did it get paid? You're not sure — so it sits there while your own bills don't wait.

The memory of past customers

A customer you helped last year calls back. You can't remember the job or the price. Guessing makes you look disorganized to the exact person ready to hire you again.

Why it works

Four design choices that make this reliable — not just automated

Automation you can't trust just creates a new mess. Four rules keep this one honest and keep your margins intact.

01

One source of truth

Three connected tabs — CRM, Bid Tracker, Job Log — track 44 fields between them, and all of it shares one Customer ID. A name and address exist in exactly one place, so you never end up with two records and two phone numbers for the same person.

02

Confirmation before every write

Claude reads back exactly what it's about to enter before it touches a cell. You approve or correct it first. It also won't write an incomplete record: if a required field like a phone number, scope, or amount is missing, it asks before writing instead of leaving a blank you'd find later. A written rulebook protects formula columns so the automation can't quietly break itself.

03

Fixed, visible reminder rules

Every morning at 8am, the script checks two things: bids open 5 or more days, and invoices unpaid 14 or 30 or more days. You get one email — no guessing which jobs need a nudge.

04

Your money, your payment choice

Most contractor apps lock you into their own payment platform and skim a cut off every invoice. We don't act as a payment middleman and we take 0% of your revenue. Your invoices include your own payment instructions—whether you prefer checks, ACH bank transfer, or card processing through your own Stripe, Square, or Zelle accounts. You stay in control of how you get paid, and we can even help you configure your preferred payment links right into your invoice templates.

How it works

Set up once. Then it runs itself.

About 45 minutes to set up — no coding. After that, here's what a normal week looks like.

Just speak and the system updates itself — a contractor dictating a job update by voice to the Claude AI assistant
01

Tell Claude what happened

Open a chat in your Capture project — on your phone, between jobs. Type or voice a quick line: "Sent the Fence Repair bid to R. Delgado, $1,240." No spreadsheets on your phone.

02

Get your day's summary

At day's end, ask Capture for a summary. It compiles every update you sent it into one clean, numbered list.

03

Hand it to Operations

Paste that summary into your Operations project. Claude reads back exactly what it's about to change — before it touches a single cell.

04

Approve, tracker updates itself

Confirm the list, or correct it first. The CRM, Bid Tracker, and Job Log update automatically — and tomorrow's 8am digest reflects the change.

"I built this because I was tired of watching good trade businesses lose money to a follow-up they forgot, or give away thousands of dollars in fees to software companies taking a cut of jobs they didn't do."

Questions

Before you buy

Do I have to process payments through you or pay transaction fees?

No. We are not a payment processor, and we never take a percentage of your invoices. Unlike platforms that mandate their own merchant accounts, our system gives you complete freedom. Your auto-filling invoice templates can feature whatever payment methods make sense for your trade—checks, direct bank transfer, Zelle, or a payment link to your existing Square, Stripe, or QuickBooks account. If you need a hand setting up your payment links on the invoice, we’re happy to help you get that dialed in. You decide how you get paid; we just handle the automation.

Do I need to know how to code?

Nope. All the behind-the-scenes work is already built and wired into your spreadsheet before it ever gets to you — you won't touch a line of it. Your part is filling in the blanks: there's a Set Up tab that walks you through everything step by step, in order. You'll paste in a few web links where it asks, drop in your business details, and swap in your own terms, conditions, and warranty wording so it sounds like you, not us. That's it — no code, no tech degree, no calling your nephew.

What do I need to already have?

A Google account with your own Drive, Google Chrome, and a Claude.ai account with access to Projects and Cowork (Claude Pro, Max, Team, or Enterprise) if you want the AI update workflow. You'll also install the official Claude Chrome extension — it's what lets Cowork click into cells and type. Setup takes about 45 minutes.

Does this work for trades other than handyman work?

Yes. It's built around bids, jobs, and invoices — a structure that fits most service-based trades (electricians, plumbers, HVAC techs, painters, landscapers, carpenters). The guide includes a section on adapting field names and reminder thresholds to your specific business.

Is this a subscription?

Not from us. The CRM Bid System — the spreadsheet, the bid tracker, the job log — is a one-time purchase. You own it, set it up once, and the spreadsheet itself never requires a subscription. The AI assistant part — say the bid out loud and it logs itself — runs through Claude Cowork, and that piece does need at least a Claude Pro subscription from Anthropic to work. That's a real, separate cost, and it's worth knowing going in if the hands-free part is the reason you're buying this. Either way, your spreadsheet, your data, and your files stay in your own Google account. We never see them, and you're never locked into anything with us.

How do I get the files after I buy?

The full setup guide containing direct links to copy the master spreadsheet and Google Doc templates is delivered to your email instantly upon purchase.

What if it doesn't work for my business?

Set it up and try it for 14 days. If it isn't a fit, email operations@bureaucracylabllc.com for a full refund.

Stop running your business from memory.

Every bid that goes quiet is money lost, and mandatory software markups shouldn't eat into the work you finish. Take 45 minutes this weekend to set up a clean, private automation system where you own the workflow and choose how you get paid.
